I've had a few people ask me how to set up email on their iPhone's so thought I'd put this guide together. The problem is that if you use a POP account and you open email on your PC, the emails by default are downloaded off the server and the iPhone then has nothing to look at. So this guide shows you how to configure your mail client to leave a copy of emails on the mail server so your iPhone can also see those emails.
Most people use Outlook as their email client so thats what this guide is based on. Open Outlook and click - Tools - Email Accounts. Select 'View or change existing email accounts' and click next. Highlight the pop server that you are using, it should already be highlighted by default, and click the change button. Then click 'More Options'. Click the advanced tab and you'll see a screen like this.
Tick the box that says 'Leave a copy of messages on the server'. The problem is depending on how many emails you receive, the server will eventually fill up with messages. So there's a further option to delete them after a number of days you specify. I like to choose 90 days. This means after 90 days your iPhone will not see those messages. That doesn't worry me since I can always use my main PC to find older emails and the iPhone is mainly used for checking newer emails while I'm out and about during the day.
Click OK, Next, Next and the changes will be saved. So now Outlook will download emails, but leave a copy on the server which your iPhone can see. The next step is to configure the iPhone to see those emails left on the server.
On the iPhone click Settings, then Mail,Contacts,Calendars. Click 'Add Account' and fill in the same mail server details that were configured in Outlook. Another important option to configure is 'Fetch New Data'. Its best to check for new emails every 15 minutes, but hourly may be better if your battery is not so good.
Now its all set to go. Enjoy reading emails on your iPhone while you're away from the PC.
